What an ATS Actually Does

An ATS parses your resume into a structured record, pulling out your name, contact info, job titles, dates, and skills, then scores or ranks it against the job's requirements. Two things break this process most often:

  • Parsing failures: the software literally can't extract your text correctly (tables, columns, text boxes, images of text).
  • Keyword mismatch: the software reads your resume fine, but it doesn't contain the terms the job posting is scored against.

1. Format & Structure

Single column, standard section headers, no text inside images or graphics, no headers/footers containing your contact info (some parsers skip them entirely).

2. Keywords & Content

Does your skills section include the exact terms from the job posting? "Cross-functional collaboration" and "worked with other teams" are not the same string to an ATS.

3. Technical Requirements

File format matters. A .docx or text-based PDF is safest. Avoid saving as a flattened image-PDF from a design tool, it looks fine to a human, invisible to an ATS.

Consistent date formats, no spelling errors, and a clear, scannable structure, this affects the human review that happens after you clear the ATS, not just the ATS itself.
